Advertising Workflow

From initial booking to client-approved artwork — a complete pipeline that connects sales reps, designers, and clients in one integrated flow.

How it works

Six steps from sale to approved artwork.

01

Book

Sales rep creates a booking — selecting the client, ad type (new build, repeat, or revision), size, publications, editions, and rate. Rate cards are built in, with per-publication pricing for colour and mono.

02

Brief

The sales rep fills in the creative brief with structured fields: headline, body copy, call to action, style notes, colours, and contact details. Or paste in rough notes and let AI generate a structured brief instantly.

03

Assign

The ad appears in the creative team's queue as "Ready to Set". A designer claims it — or a creative manager assigns it. The sales rep is notified that work has started.

04

Design

The designer opens the ad in the InDesign plugin, sees the brief and dimensions, downloads any client-supplied artwork, and builds the layout in their normal workflow.

05

Proof

One click in InDesign uploads the completed proof (PDF and PNG preview) directly to Xpressly. Status updates automatically and the sales rep is notified.

06

Review & Approve

The sales rep reviews the proof, then sends a link to the client. The client can approve or request changes with pinpoint annotations — no login required. Changes route back to the designer for the next round.
